The Importance of Setting up a Business Email Address

Create Business Email Account

By Caitlyn Buchanan, 13th January 2021

One of the most important things to consider when starting a business is how to set up a business email for yourself and your staff. Even if your company is small with few employees, having professional business email addresses is one of the easiest and most effective ways to gain trust with potential customers and clients. Businesses that use professional email addresses appear more reputable which can lead to increased leads and sales.

Improve communications Create business email accounts to channel inquiries directly to relevant individuals or business departments, for example, info@yourcompanyname.ie and sales@yourcompanyname.ie. This can help increase productivity and help customers to feel that their query has been sent to the correct department.

Stay out of the junk box These days many personal inboxes are being flooded with junk mail, and email providers are always making updates to enhance their junk filters. Using a professional email address is a great way to ensure your message does not end up in a potential client’s junk mail folder.

Put yourself in the customer’s shoes Would you feel more comfortable paying an invoice sent from a Gmail account or a professional email address? For example, company@gmail.com or admin@companyname.ie?

Step 1: Choose a Domain Name

The most appropriate and effective domain name would include the company’s name, for example, we use @companybureau.ie. However, if your company name is very long or difficult to spell you may choose to use an acronym or abbreviation.

This domain name can also be used when you are ready to set up your company website or if you prefer you may choose to register another variation related to your products or services. It is important to do some research before you choosing your company name because the domain name may not be available. Be sure to search your preferred domain name on Google and Irish Domains to ensure it is available. The company name will also need to be checked against those already registered with the Company Register Office.

Did You Know… You can submit a free company name check and we will check your chosen company name against the register.

Can I use a Domain as my Business name?

When setting up a Sole Trader, the business name can be registered using a domain name such as businessname.ie or businessname.com. However, limited companies cannot be registered under a domain name. Instead, an existing Irish company could register the domain as a business name (also known as a trade name) under the company.

Did You Know… When you form a new company or register a business name with Company Bureau we will include a free .ie or .com domain name for one year.

Step 2: Setting up a Business Email Address

Once your domain name has been secured, you have ownership of it and no one else can use it. The next step is to create business email accounts, this will require email hosting services. There are many hosting providers to choose from and many offer a combination of email hosting and website hosting for an annual fee. This can be overwhelming if you have no prior experience. We recommend choosing a hosting provider that will assist you with the setup process.

Company Bureau can provide email and website hosting for the unbeatable rate of only €200+VAT per year. This rate includes creating business email account (up a maximum of five) which can be accessed using a web browser on any computer, Outlook (or other email client application), and/or smartphone email applications.

Step 3: Create an Online Presence for your Business

More and more businesses are operating virtually, and it is now more important than ever to establish a professional online presence for your business. Many companies start out by creating social media accounts and listings on Irish business directories such as Irishdirectory.ie, localsearch.ie, goldenpages.ie, etc. Listing a professional email address is a step in the right direction but including a link to a company website is even better. If you are not able to invest in a professional website right now, it is advisable to create a ‘website come soon’ page which can include the business address, phone number, email address, logo, etc.

Why do I need a company website? Having a business website is the best way to reach both new and existing customers who are searching for products and services online. Even if you are not ready to build a full website you can follow these steps to get your new company listed on Google.
